hr.ubc.ca and Workday integration

In fall 2020 UBC launched Workday, a software for human resources management and financial management.

Before launch, we needed to ensure that hr.ubc.ca integrated Workday and all Human Resources process on the website were up to date given Workday would change processes.

Approach

Audit website and work with stakeholders

Our team audited hundreds of pages to review for any processes that could be impacted by Workday. We then worked with stakeholders who ‘own’ those processes and updated the content to reflect that the new process will require going to Workday.

Work with Workday Team and Finance Team

We worked closely with the Workday team and Finance Team to find a way to align the way our content was presented on both the Human Resources website and Finance website.

We collaboratively audited our content to see the overlaps in content and how to interlink them.

Communication with Stakeholders

I led communication with Stakeholders, IT, and Content Editors to make sure content was ready for launch.

Staging for launch date

We used the staging environment for our site to update Workday updates so we could launch seamlessly.

Results

We were able to seamlessly update our website when Workday launched.

Approximately 100 pages were impacted by Workday. For launch, our content was accurate and reflected workday practices.

To better connect Workday process information with Human Resources processes, I was able to interlink relevant Workday links with process information from the Human Resources website. There are hundreds of Workday process pages that could have been interlinked, instead we chose to use a high level linking approach and only linked to topic pages for the user to self-serve. This was a far more sustainable approach.
